Security Tips For Event Planning

No matter the event at hand, there are a lot of elements that have been extensively planned out behind the scenes to ensure the event runs smoothly. Meticulous planning, and security evaluation plans are a must to ensure all attendees at the event are enjoying their time in a safe and controlled environment. Additionally, it is imperative to ensure you hire a qualified and licensed security company, whose officers are trained to provide security in a variety of venues and different types of emergency situations. This article provides tips to craft a security checklist that assists in the event planning process to ensure security from start to finish.

Venue Assessment  

  • First, analyze how many people will be attending the event. Take into account the staff and any entertainers that may be performing at the event. Assess how to handle unfamiliar persons. 
  •  Evaluate all access points including parking lots, buildings, event perimeters and any other areas that require crowd control. With such security you'll be able to monitor and only grant access to appropriate personnel in different sections of the event as well as understand how many security officers are needed to regularly patrol every event area. 
  • Establish how different areas will be monitored and handled. 
  • Plan and practice how incidents will be handled with several scenarios and levels of security. Make sure all staff and security officers are easily able to communicate with one another.

Working With Law Enforcement

  • Communicate with law enforcement and let them know in advance of the upcoming event. 
  • If requested provide detailed information outlining security measures and documented paperwork showing that a qualified security company has been hired and will be providing the necessary amount of officers for security.
  • Talk with officials again as the event approaches.

Security Team

  • Select a Security Officer to oversee and coordinate security planning.
  • Hire staff or recruit volunteers to handle greeting and offer tasks such as directions to sections of the event.
  • Make sure all staff and volunteers are aware and trained of required duties.
  • Establish security response measurements such as announcements, radios, evaluations and lock down. 
  • Make sure all security equipment is in optimal working condition including radios, security cameras and building access systems.

   Security Action Items

  • Analyze event facility and neighboring area for proper security measures.
  • Make sure all security assessments and information is shared with all staff involved at the event. 
  • Establish perimeter security procedures; entrance, parking areas, adjacent property
  • Control all parking areas and make sure they are properly labeled with appropriate signs to assist attendees and help the flow of traffic. 
  • Implement Access Control Measures (limit points of entry as regulated by Fire Code)
  • Make sure there are proper directions for attendees and that all restricted areas are properly labeled. 
     
  • Review all emergency response procedures for any type of incident that can occur. 
  • Constantly update all staff members, volunteers and security personnel. Make sure there is a final briefing so everyone is on the same page.
